Hollis and Co Limited, is an accountancy and tax advisory firm. We are registered in England and Wales as a limited liability company under number:5408277. Our registered office is at 35 Wilkinson Street Sheffield S10 2GB. Please write to this address with any enquiries, notices or requests.
We are the ‘data controller’ responsible for deciding how we hold and use personal data about you. A data protection manager is responsible for answering enquiries about our treatment of your personal data.
2. HOW WE MAY COLLECT YOUR PERSONAL DATA
We obtain personal data about you, for example, when:
- you request a proposal from us for services;
- during the provision of those services;
- you contact us by email, telephone or post or
- from third parties such as from your employer, HMRC, banks, stockbrokers and other investment advisers or from Companies House.
3. THE KIND OF INFORMATION WE HOLD ABOUT YOU
This may include:
- personal details such as your name and address, dates of birth, national insurance number, tax reference numbers and communications with you etc;
- details of contact we have had with you in relation to the proposed and actual provision of services and complaints;
- details of your income from all sources, expenses that are relevant to your taxation affairs and accounts, investments you hold, bank accounts, real property and other assets.
4. HOW WE USE PERSONAL DATA WE HOLD ABOUT YOU
We process your personal data under the contract you have with us, this will typically involve completion of taxation returns or your accounts.
We may use your personal data for our own legitimate interests. This might include advising you of other services we offer such as specialist advice or fee insurance for HMRC enquiry costs.
We may also process your personal data without your knowledge or consent where we are legally required or permitted to do so.
Data retention
We will only retain your personal data for as long as is necessary.
In many circumstances the law or regulation may require us to retain data for a minimum of six years. We may decide to retain data for longer periods than this if r it may be needed to defend a claim against us. We may retain data indefinitely if we think information may be helpful in providing advice in future, a typical reason would be to obtain capital gains tax base costs.
5. DATA SHARING
We will share your personal data with third parties where we are required by law, where it is necessary to administer the relationship between us or where you instruct us to.
Third-party service providers may deal with company formations, providing fee insurance, specialist tax advice, and banking services.
We may share your personal data with a regulator.
6. TRANSFERRING PERSONAL DATA OUTSIDE THE EEA
We will not transfer the personal data outside of the EEA.
7. DATA SECURITY
We have put in place reasonable and appropriate security measures to prevent your personal data from being lost or accessed in an unauthorised way. We limit access to your personal data to those employees, and consultants who work with us. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We will notify you and any applicable regulator of a suspected data breach where we are legally required to do so.
8. RIGHTS OF ACCESS, CORRECTION, ERASURE, AND RESTRICTION
